Effective date: June 1, 2026 · Last updated: June 1, 2026
This Privacy Policy describes how MEDinformatics ("MEDinformatics," "we," "us," or "our") handles information in connection with the public website located at www.medinformatics.ai (the "Site"). Please read this policy carefully. By using the Site, you accept the practices described here.
1. Who We Are
MEDinformatics is a healthcare interoperability consulting firm based in Chicago, Illinois. We provide consulting services to healthcare organizations including medical practices, clinical laboratories, and behavioral health providers. MEDinformatics is not a covered entity under the Health Insurance Portability and Accountability Act (HIPAA) and does not operate as a healthcare provider, health plan, or healthcare clearinghouse. This Site is a public marketing website only and is not a client portal, patient portal, or clinical application.
2. What This Site Does Not Collect
This Site is designed to collect the minimum information necessary to respond to business inquiries. Specifically:
- The Site does not collect, store, or process protected health information (PHI) as defined by HIPAA.
- The Site does not use analytics scripts, tracking pixels, or behavioral advertising tools.
- The Site does not use cookies beyond what is technically necessary for page rendering.
- The Site does not use third-party form submission services, customer relationship management (CRM) integrations, or marketing automation platforms.
- The Site does not use session recording, heatmap, or A/B testing tools.
3. Contact Form and Email Inquiries
The contact form on this Site uses a mailto flow. When you complete and submit the form, your browser opens your local email client (such as Outlook, Apple Mail, or Gmail) with a pre-composed message addressed to info@medinformatics.ai. The message is not transmitted to or stored by this website. You send the message yourself from your own email client.
As a result:
- No form submission data is stored on this website or its hosting infrastructure.
- No submission data is passed to a third-party service by this website.
- The email you send is received and stored in our business email inbox, operated through Microsoft 365.
We use information submitted by email solely to respond to the inquiry and to conduct the requested consulting engagement. We do not sell, rent, or share business inquiry information with third parties for marketing purposes.
Important: Do not include protected health information in any message sent through this website or to our general inquiry email address. Do not include patient names, dates of birth, medical record numbers, diagnoses, clinical results, or any other information that identifies or could identify a patient. Share system names, vendor names, workflow descriptions, and business context only.
4. Information Collected Automatically
When you visit the Site, standard web server and content delivery network (CDN) logs may record:
- Your IP address
- The date and time of your request
- The page or resource requested
- Your browser type and operating system
- The referring URL
This Site is hosted on Cloudflare Pages. Cloudflare may process certain technical request data as part of its infrastructure and security services. Cloudflare's privacy practices are described in the Cloudflare Privacy Policy at cloudflare.com/privacypolicy. MEDinformatics does not separately analyze or retain server log data for marketing or behavioral profiling purposes.
5. Google Fonts
This Site loads fonts from Google Fonts (fonts.googleapis.com and fonts.gstatic.com) via a standard browser request. When your browser requests a font file, Google may log the request, including your IP address. This is the only third-party resource loaded by this Site. Google's privacy practices are described in the Google Privacy Policy at policies.google.com/privacy. We use Google Fonts solely for visual presentation and do not share any other data with Google in connection with your use of this Site.
6. No Cookies for Tracking or Advertising
This Site does not set cookies for tracking, advertising, analytics, or session management. No consent banner is displayed because there are no non-essential cookies to consent to. If your browser or a browser extension sets cookies for its own purposes when visiting this Site, those are outside MEDinformatics's control.
7. Children
This Site is directed to business professionals in the healthcare industry and is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
8. Links to Other Websites
This Site may contain links to external websites. MEDinformatics is not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policies of any external sites you visit.
9. Data Security
This Site is a static website with no server-side application, no database, and no user accounts. It does not store personal information. The hosting infrastructure uses HTTPS (TLS) encryption for all connections, and security headers are applied in accordance with current best practices. Because no personal data is stored by this website, the risk of a data breach at the website level is minimal. Email correspondence received at info@medinformatics.ai is stored within our Microsoft 365 business email environment, which is subject to Microsoft's security and compliance practices.
10. Your Rights
If you have submitted a business inquiry by email and wish to request deletion of that email correspondence from our records, you may contact us at info@medinformatics.ai. We will honor reasonable deletion requests for correspondence that is not subject to a legal hold or business record retention requirement. Because this Site does not store personal data, there is no account to delete and no stored profile to access or correct.
If you are a resident of the State of Illinois, the California Consumer Privacy Act (CCPA), the General Data Protection Regulation (GDPR), or another privacy law that grants you specific rights, and you believe those rights apply to information you have provided to us, please contact us at the address below and we will respond as required by applicable law.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. Material changes will be noted here. Continued use of the Site after any update constitutes acceptance of the revised policy.
